AI Chatbots for Small Business: The Setup That Works

Skip the tool zoo. Here is the exact chatbot setup you can build and launch on your own site this afternoon, step by step.

The best way to set up an AI chatbot for your small business is to train one tool on your own website and FAQ pages, give it clear rules, and drop one line of code on your site. You can do it in an afternoon. This guide names the exact tools, the exact settings, and what "done" looks like at each step.

The reader who searched "ai chatbots for small business" does not want a list of thirty apps. You want one that works, answers your customers' real questions, and does not bill you a surprise £300 next month. So that is what this is.

Pick one tool, not five

For a small business that mainly wants a bot to answer questions and capture leads on its website, three names are worth your time. The rest are noise.

  • **Chatbase** is the fastest to get an accurate bot live. You give it your website URL or documents and it trains in about 15 minutes. Chatbase is the best overall for most businesses, it trains on your existing docs in about 15 minutes. Watch the pricing though: Chatbase pricing 2026 ranges from $40/month (Hobby) to $500/month (Pro), plus custom Enterprise pricing. The credit-based model adds complexity.
  • **Chatling** does almost the same job for less and adds a simple flow builder. Chatling is the closest Chatbase alternative if you want AI answers and a flow builder at a lower price. Like Chatbase, you can train an AI agent on your website or documents and publish it fast. Unlike Chatbase, you can also design custom flows for lead capture, FAQ trees, and guided troubleshooting. It's budget-friendly too. Chatling starts at $25/month, while Chatbase starts at $40/month. It also has a genuinely usable free tier: a free plan that includes unlimited chats and a $25/month upgrade for advanced AI features.
  • **Tidio** suits shops that also want live chat and a shared inbox in one place. Just know the AI is a paid add-on, not included in the headline price. The key thing to understand: Tidio's advertised prices don't include AI. The Lyro AI chatbot is a separate add-on that costs $39-289/month on top of your base plan.

My simple rule: if you just want a bot that answers questions on your website, start with **Chatling's free plan** to prove it works, then Chatbase if you want the slickest answers. Only reach for Tidio if you already need live human chat and an inbox too.

One warning on Tidio before you commit. When you hit 95% of your monthly conversation quota, Tidio automatically upgrades you to the next tier. The only warning is an in-app banner at 80% usage that's easy to miss; there's no email notification. The upgrade takes effect immediately, and you pay the full new tier price on your next billing cycle. If you pick it, turn off auto-upgrade and watch your usage.

Before you touch a tool: gather your answers (20 minutes)

A chatbot is only as good as what you feed it. Do this first or the bot will make things up.

  • Write down the 10 questions customers ask you most. Prices, opening hours, service areas, "do you do X", how to book, guarantees, delivery times.
  • Answer each in a plain sentence or two, in your own words.
  • Note the pages on your site that already cover this: your FAQ, services, contact and about pages.
  • Decide the one thing you want the bot to push people toward: book a call, request a quote, or buy.

**Done looks like:** a short document with 10 questions answered, plus a list of your best URLs. That is the bot's brain.

Step 1: Create the bot and feed it your site (15 minutes)

Sign up and start a new agent. The flow is nearly identical across these tools. In Chatbase: click "New Chatbot." You'll land on the data sources page. Think of this as the chatbot's brain, you need to feed it information. You can upload files (like PDFs), paste in text, or tell it to scrape a website.

Add your website. Click on Website on the left sidebar of the page and then type out the URL of the website or page that contains the data you want to use. Click on Fetch links and once the process is completed, click on Create Chatbot. Then paste your 10 Q&As in as text or a Q&A pair so the bot has clean, correct answers to lean on.

Watch one thing here. For each URL, you can see the number of characters it has been trained on. If the number of characters is low, then it could be that Chatbase cannot read your website well. If a key page comes back nearly empty, save it as a PDF and upload that instead.

**Done looks like:** every source shows "Trained" and your important pages show a healthy character count, not near zero.

Step 2: Set the rules and the voice (10 minutes)

Once trained, go to Settings. It's time to give your chatbot some personality and ground rules. Give it a name, set the tone to match how you actually talk to customers, and write a short instruction like: "You are the assistant for [business]. Answer only from the provided information. If you do not know, say so and offer to take the customer's name and number."

That last line matters. It stops the bot inventing answers and turns dead ends into leads instead.

**Done looks like:** a named bot with a clear instruction that tells it to admit when it does not know and collect contact details.

Step 3: Test it like a suspicious customer (15 minutes)

Use the preview or playground. Your chatbot is live, but you're not quite done. Now it's time to see how it does. Go to your website and start asking it the questions you hear from customers all the time.

Ask your 10 questions. Then ask the awkward ones: a price you do not publish, a service you do not offer, a rude question. You want to see it answer well on the real ones and gracefully hand off on the rest. Fix any wrong answers by editing the source or adding a Q&A pair, then retrain.

**Done looks like:** it nails your top 10, and when it does not know something it offers to take a name and number rather than guessing.

Step 4: Put it on your site (10 minutes)

This is the part people fear and it is one copy-paste. Your chatbot is trained, customized, and ready for the world. Go to the "Embed on site" tab and switch your chatbot to "public." Chatbase will give you a little piece of code. All you have to do is copy that code and paste it into your website's HTML, usually just before the closing tag.

On WordPress it is even easier. There is an official Chatbase plugin: in the left sidebar, click on "Plugins" and then "Add New." In the search bar, type "Chatbase" to find the official Chatbase plugin. Click "Install Now" next to the Chatbase plugin, then click "Activate" once installation is complete.

**Done looks like:** you visit your live site, a chat bubble sits in the bottom right, and it answers a test question correctly.

A worked example: a local plumber

Say you run a plumbing firm with a five-page website. Your top questions are: do you cover my postcode, what does a boiler service cost, are you Gas Safe registered, and how fast can you come out for a leak.

You spend 20 minutes writing those answers: you cover three named towns, a boiler service starts from a set price, yes you are registered with your number, and emergency call-outs are same-day where possible. You point Chatling or Chatbase at your services and contact pages, paste in the four answers, and set the rule: "If someone has a leak or no heating, tell them to call this number now, and offer to take their details."

Now a visitor at 9pm asking "burst pipe, do you come out tonight" gets an instant answer and a prompt to leave a number, instead of bouncing to the next plumber on Google. That missed message was a job you were losing. For a salon it is the same shape but for bookings and prices; for a small shop it is delivery times, returns and stock questions.

What to do next

1. **Today:** write your 10 most-asked questions with plain answers, and list your best 3 to 5 site pages. Fifteen minutes with a coffee. 2. **This week:** open a free Chatling account (or Chatbase if you want the slickest answers), train it on those pages and answers, set the "admit when you don't know and take a name and number" rule, and test your 10 questions. 3. **Before the weekend:** embed it on your site with the one line of code or the WordPress plugin, then message it from your phone to confirm it works. Only upgrade to a paid plan once it is earning its keep.

If you would rather do this alongside other owners who are setting up the same thing, that is exactly what we work through together in the AIBL Club. Either way, the tool is cheap and the setup is short. The value is the job you stop losing at 9pm.
